Set up your company details

Business details, job numbering, branding, bank and ABA details, and builder licences: everything that prints on your documents.

9 steps 0:53 video For owners and admins with Settings access

Before you start

  • You need Settings access. Owners always have it.
  • Have your ABN, registered address, logo file, bank details and builder licence numbers handy.
  1. 1

    Open Settings

In the sidebar, click Settings. Company Settings opens on the Company Info tab.

  2. 2

    Check your business details

These print on every quote, purchase order, invoice and contract you send.

    1. aCompany Name, as it should appear on your documents.
    2. bYour registered address.
    3. cYour ABN.
  3. 3

    Contact details and job numbers

    1. aPhone, Email and Website for your document headers.
    2. bJob Number Prefix: three letters that start every job number, like MVC26-004.
    3. cTime zone: dates and times across the app follow it.

Watch out: pick the prefix before you create jobs. It sets how every new job is numbered.

  4. 4

    Save the tab

    1. aClick Save Company Settings.

Tip: each tab saves on its own. Save before you move to the next tab.

  5. 5

    Add your logo and colours

Open the Branding tab. Your logo and colours style your PDFs and emails.

    1. aPrimary, secondary and accent colours.
    2. bUpload your logo (JPEG, PNG or GIF, up to 2 MB). Then click Save Branding Settings.
  6. 6

    Find your document templates

Open the Templates tab and click Open Template Centre. It holds your templates for proposals, purchase orders, claims, variations, invoices and contracts. Set a default for each type.

  7. 7

Tip: bank details are stored encrypted.

  8. 8

    Set up ABA payments

Further down the Bank tab. Only needed if you pay suppliers and subcontractors with an ABA file (see Accounting).

    2. bEnter the Licence Number (plus class and dates if you like), then click Add Licence.

What happens next

Next, invite your team and set what each role can see and do.

Invite a team member

Send a team member an invitation with the right role, and manage invitations that haven't been accepted.

6 steps 0:29 video For owners and admins with User Administration access

Before you start

  • Have the person's name and email address.
  • Know which role to give them. The role decides what they can see and do (next SOP).
  1. 1

    Open the Team tab

In Settings, click the Team tab.

  2. 2

    Enter their name and email

    1. aFull Name.
    2. bEmail. The invitation goes here.
  3. 3

    Choose their role

Pick from Accounts, Project Manager, Estimator, Contract Administrator, Site Manager or Sales. Clients, subcontractors and field workers are invited separately.

  4. 4

    Send the invitation

Click Send Invite. They get an email with a link; when they accept and sign in, they join your workspace with that role.

  5. 5

    Check your team

Everyone in the workspace is listed with their role and when they joined.

  6. 6

    Follow up an invitation

    1. aPending Invitations lists anyone who hasn't accepted yet.
    2. bResend the email, or cancel an invitation sent in error.

What happens next

Once they've accepted, check what their role can see and do. That's the next SOP.

Adjust role permissions

Decide which roles can view and edit each module.

6 steps 0:33 video For owners and admins with User Administration access

Before you start

  • Roles come with sensible defaults. Only change what your business needs.
  • If someone can't see a screen or a button, this grid is almost always why.
  1. 1

    Open the Team tab

  2. 2

    Open role permissions

  3. 3

    Read the grid

    1. aEach role has a column.
    2. bEach module has a row. View lets the role open it; Edit lets them create, change and delete.
  4. 4

    Owners always have full access

The Owner column can't be changed, so an owner can never be locked out.

  5. 5

    Change a permission

For example, to let Site Managers raise purchase orders, tick Edit for Site Manager on the Purchasing row.

Tip: ticking Edit ticks View too. Unticking View clears Edit.

  6. 6

    Save

    1. aClick Save Permissions. Changes take effect as soon as you save.

What happens next

If a teammate still can't see something after you've saved, ask them to refresh the page.

Recorded 17 October 2026 in a demo workspace. What you can see and do depends on your role and your company's permissions, and screens may differ slightly as CortexPM is updated. The written guide is here.
